How to install in Gmail
  1. Click Copy signature for Gmail above.
  2. In Gmail, open Settings (gear) → See all settings → General → Signature.
  3. Create or select a signature, click into the box, and paste (Cmd/Ctrl+V).
  4. Scroll down and click Save Changes.
How to install in Outlook
  1. Click Copy signature for Gmail above (same button works for any client).
  2. In Outlook, open File → Options → Mail → Signatures, and select or create a signature there.
  3. Click into that signature box and paste (Cmd/Ctrl+V). Pasting directly into the Signatures dialog is more reliable than pasting into a new email.
  4. If your photo or logo ever shows as a broken or missing attachment after sending, check File → Options → Mail → Editor Options → Advanced → Cut, copy, and paste, and set "Pasting from other programs" to Keep Source Formatting. Some Outlook configurations otherwise convert linked images into email attachments, which can break when the message is forwarded into another system.
Image and hosting rules (read before hosting)
  • Host the tool and every image on HubSpot File Manager or arcalea.com. Do not use Google Drive: Drive links break in recipients' inboxes, and Drive cannot serve the tool as a live page.
  • Use PNG or GIF, never SVG. SVG does not render in Outlook and is unreliable in Apple Mail.
  • Image file names must have no spaces and no parentheses. Use arcalea-logo-signature.png, not "logo (1).png". Spaces and parentheses break images in Apple Mail and Outlook.
  • Profile photos are now baked to a square crop automatically the moment you click either copy button, whether you uploaded a file or pasted a URL. This is what keeps the photo correctly sized and circular everywhere, including Outlook, which ignores the CSS crop a browser preview relies on.
